What this notice covers
This website notice covers information you send when asking about care, arranging a visit, joining optional email updates or making an initial job application. Resident care records and employee records are managed separately and may be covered by additional information provided at the appropriate time.
Care enquiries and visits
We use your name, contact details, enquiry and preferred reply method to answer you, arrange follow-up and discuss whether Heathside may be suitable. This is based on our legitimate interests in responding to enquiries and, where relevant, taking steps at your request before a contract.
Please do not use the website form to send medical records, detailed health information or unnecessary information about another person. If detailed care needs need to be discussed, call us and we will explain the appropriate next step and relevant privacy information before requesting them.
You do not have to agree to marketing to make an enquiry.
Initial job applications
We use information in an application to consider your suitability, contact you and manage recruitment. This supports steps before a possible employment contract and our legitimate interest in recruiting staff. If an application progresses, we may request information needed for legal, right-to-work, reference or DBS checks.
Please do not send identity documents, medical information or criminal-record information through the initial application form unless we specifically ask for it through an appropriate process.
Optional email updates
We send occasional care guidance, availability information and event news only when you make a separate positive choice. This uses your consent. You can unsubscribe through a message we send or by contacting us. Withdrawing consent does not affect earlier lawful use of your information.
Website information and cookies
Essential browser storage remembers your privacy choice and supports the site. If you accept optional cookies, Google Analytics and Google Ads measurement may collect information about your browser or device and how you interact with pages. Personalised advertising and Meta tracking are currently disabled.
You can choose analytics and advertising measurement separately, and change either choice at any time using “Cookie choices” in the footer. Turning a choice off updates Google’s consent state and removes the related first-party cookies that this site can access. Care-enquiry contact details are not used to create advertising audiences.
Who may process information
Authorised Heathside staff may access information where needed. We also use service providers for website hosting, email, information technology and forms, including Google Forms. Recruitment information may be shared with advisers, checking services or public authorities where necessary and lawful.
When you use Google Forms, Google may process information on servers outside the UK. Google states that it relies on applicable adequacy arrangements, its certification under the UK Extension to the EU–US Data Privacy Framework and standard contractual clauses where required. Read Google’s privacy policy and data-transfer frameworks. If you prefer not to use Google Forms, contact Heathside by telephone or email. You can ask us for current information about the providers used for your enquiry.
How long we keep information
- Enquiry information is kept while we handle the enquiry and for a proportionate period for follow-up, complaints and legal responsibilities.
- Recruitment information is kept according to the stage reached, what was explained to the applicant and applicable legal requirements. A successful applicant’s relevant information becomes part of their employment record.
- Email-update details are kept while consent remains active. We may retain minimal information needed to respect an unsubscribe request.
Information is deleted or anonymised when it is no longer needed.
Your rights
Depending on the circumstances, you may have rights to ask for access, correction, deletion, restriction or portability of your personal information. You may object to processing based on legitimate interests, object at any time to direct marketing, and withdraw consent.
